We hope you’re off to a great start in your Toastmasters year!
It’s time to designate a proxyholder for the Annual Business Meeting at the Toastmasters International Convention. As a Club President or Club Secretary, you are responsible for your club’s two votes. These votes help shape the future of our organization by electing our international leaders and guiding key decisions.
⚠️ This is a time-sensitive task. Please complete it by August 15, 2025.
Even if you plan to attend the meeting and vote yourself, you must still assign a proxy in advance.
🔹 Proxy Assignment Options
- Assign the 2025–2026 District Director to act as your club’s proxy.
Note: If the District Director is unavailable, the next senior district officer will act as proxyholder. - Assign a club member from your club to serve as the proxyholder.
🔹 Frequently Asked Question
Q: Do both the Club President and Secretary need to assign the proxy?
A: No. Only one of the two officers needs to complete the assignment on behalf of the club.
🔹 How to Assign Your Club’s Proxy
Only the Club President or Secretary (not both) can assign the proxy by following these steps:
- Log in to Toastmasters.org with your credentials.
- On the My Home page (below “My Education and Achievements”), locate the Annual Business Meeting section.
- Click on “Club Proxy & Voting Instructions.”
- If you serve multiple clubs, select the relevant club.
- Click “Start” next to “Designate Proxyholder.”
- Choose one of the following:
- A member of the club
- The 2025–2026 District Director
- Another active Toastmaster
- Complete the process:
- Enter your name in the signature field
- Check the box
- Click “Confirm proxyholder”
- To provide optional voting instructions, click “Go to Designate Voting Instructions”. You may also update this later.
