Minutes of DEC Meeting 07/08/25

The Club Executive Committee convened on July 8, 2025, at 7:00 pm with Debbie Crutchfield presiding. Officers present were: District Director Sameer Deshmukh DTM, PQD Courtney Carlovsky DTM, CGD Michael Hachigian, PRM Vijay Cinnasamy, Webmaster Chris Frye DTM, and District Administration Manager Debbie Crutchfield.

1. Sameer gave his District Director report:

• Welcome
• Recognitions for last year
• Vision for this year
  • Focusing on engagement with all members
  • Achieving Distinguished District status
• Realignment report and proposed new alignment: moving Sunrise Club to Area C1.

2. Courtney gave her PDQ report

• 41% of club officers trained in first Club Officer Training
• 12 clubs with no officers trained
• New member orientation is changed to monthly with alternating lunch/dinner times. The next orientation will be on July 16 at noon. See org for scheduling.
• Division and Area Director training August 1, 6-8 pm.

3. Vijay gave his PRM report

4. Chris gave his Webmaster report

• He showed the new calendar feature and updated Trio page he has added and shared plans for future improvements
• Request for new photos for the Trio and short bios
• Sameer instructed all updates from TMI should be completed by 7-15
• Sameer will send email IDs of the DEC to members

5. Michael gave a presentation on the Club Success Plan

• Club vision should include being a Distinguished Club or higher
• Club Success Plans help create action items and a time table to achieve that vision

• Club Success Plans must be submitted by 12/30 to receive Distinguished status
• He compared the offline PDF version and online version of the Club Success Plan, recommending the online version for simplicity and the ability to track progress.
• Ideally Club Success Plans should be submitted by 9/30
• Club Officer Lists need to be entered ASAP and should be the primary club goal if not already submitted

8. Vote on moving Sunrise Club to Area C1 passed.
9. Action items:
   1. Courtney to send email with training info to Division/Area Directors
   2. Sameer to send email with District Officer email addresses to Division/Area Directors
   3. Sameer to send new membership list to Division Directors to send to Area Directors
   4. Trio to send photos and short bios to Chris to update webpage
   5. Area Directors to reach out to respective club officers to introduce themselves
   6. Area Directors to follow up with the clubs officers to verify training report
   7. Area Directors to complete 1 club visit by 7/30.
10. Debbie ended the meeting with announcements:
    1. Next Club Officer Training is July 12 from 2-5 pm
    2. District Officer Training is August 1 from 6-8 pm
    3. Next New Member Orientation is July 7 at noon
